What to ask any vendor

Are you insured, and can you provide a Certificate of Insurance naming our venue? Most corporate venues won't confirm a vendor without one. The answer should be immediate.

How do you handle guest data? If the booth collects emails or phone numbers, for delivery or for lead capture, ask how it's stored, who can access it, and whether the process is CCPA-compliant. Vague answers here are a liability for your company, not the vendor's.

‍ ‍

Can the experience be white-labeled? For a sponsorship or a client-facing activation, you may need the booth, the attract screen, and the delivered photos to carry your brand and nobody else's.

‍ ‍

What branding is possible, physically? A logo overlay is table stakes. Ask about a custom step-and-repeat backdrop, a branded wrap on the booth itself, custom logo props, and branded attire for staff.

Can you capture leads, and how? Ask what fields, how the data is delivered, and whether it's tied to the photo so the marketing team knows who shared what.

What are the payment terms? Corporate accounts often need invoicing rather than a consumer deposit. Ask what terms are available and whether approval is required.
